3.1.9 Cancellation Policy

Cancellations must be made in writing.

The table shows, for each participant range, how many days prior to the start of the conference a percentage (100, 75, 50, 25, and 5 percent) of the agreed conference price can be canceled at no cost to the Authorized Entity.

In the event of cancellation later than the number of days specified in the table, the Framework Agreement Supplier is entitled to charge the full agreed conference price minus the percentage permitted at the time of cancellation.

For cancellations within the range of 61–150 participants that result in the number of participants falling below 61, the Framework Agreement Supplier is entitled to charge the remaining participants a venue cost based on 61 participants.

For cancellations within the range of 151 or more that result in the number of participants falling below 151, the Framework Agreement Supplier is entitled to charge the remaining participants a venue cost based on 151 participants.

NOTE: The agreed price is excl. VAT. This means that the cancellation cost is calculated on the price excluding VAT.
